(32nd Annual Meeting)Guidelines for Preparation of Camera-Ready Manuscripts for Proceedings
The full manuscript including the abstract, photos, graphs and tables shall be limited to 10 pages maximum. The manuscript that will appear in the Proceedings must be submitted in the form of camera-ready copy prepared by the author. The manuscript shall be prepared on 8 ½ x 11-inch paper with 1 ¼ inch left and right margins and one-inch margins at the top and bottom. The end result is a single column format with a 6-inch column width and a maximum 9 inch column height. Use 10 point Times New Roman (or True Type Ariel) if possible. In addition, we would like an electronic copy.
- Begin the title one line below the top one-inch margin. The title should be centered, single-spaced and in CAPS.
- Name(s) of author(s) should be two spaces below the title. Names should be centered, single-spaced and with initial CAPS only. Where papers have multiple authors, the name of the presenting author should be underlined.
- Author's affiliation and complete address (e-mail may be included), should begin one space below the name of the author. It should be centered, single-spaced and with initial CAPS as appropriate.
- Begin the abstract two spaces below the author's affiliation. The abstract should contain no more than 200 words. It must be single-spaced and should be flush with the left margin of the manuscript paper beginning with the word "Abstract:" in the first line of text. The abstract text should align as closely as practicable to the right 1 ¼ inch margin, but not beyond it. Thus the abstract covers the full allowable column width.
- Two spaces below the end of the abstract and flush with the left margin should be typed the words, Key Words. Key words should be underscored or in bold type followed by a colon and a list of several (no more than 8) key words in alphabetical order. Capitalize only the first letter of the initial key word except for proper nouns. Separate key words by semi-colons.
- Begin the text two spaces below the key words. The text must be single-spaced and must be flush with the left margin. It should go as closely as practicable to the right margin, but not beyond it. The first typewritten line on all pages after the title page must be flush with the top margin, but not extend above it. The text may not extend below the bottom margin.
- Use the block-style format. Do not indent paragraphs. Double space between paragraphs.
- If headings or sub-headings are used, they should be at the beginning of a paragraph and should be underlined or in bold type and followed by a colon.
- Authors should number the pages in pencil on the back of each manuscript page.
- The margin requirements stated above for the text apply as well to figures, tables and graphs. All figures and tables are to be properly sized to fit the text. After reduction, figures and tables should be legible.
- Figures and tables should be placed into the manuscript as closely as practicable to the point where they are referenced - preferably not at the end of the paper. Refer to tables and figures in the text by number (e.g., Table IV or Fig. 4).
- Figures and tables should be numbered consecutively in a single series throughout the paper and should have appropriate titles. Type figure numbers and titles directly on the pages, immediately below the area the illustrations will occupy. Figure captions should be the same size as the test type.
- All figures should be good quality (not hand sketched). All figures including photographs should be correctly sized and should be attached (glued or waxed) onto the page where they appear, or they may be scanned in by computer. If photos or figures are scanned in, they should be in black and white to assure that proper contrast is achieved. Figures may be placed side by side on the page, or have text wrapped around them. Black and white or color glossy photos are acceptable, but all photos will be printed in black and white.
- Line drawings must be presented clearly in black. Lettering on graphs and figure labels should be large, clear and "open".
- Wide tables should be centered in the column. Narrow tables may be placed to one side with text wrapping around them. Unlike figures, table numbers are Roman numbers and titles should be place above the table.
- Equations should be numbered consecutively, with the number appearing in parenthesis, flush-right to the margin. In the text, refer to equations by number, and keep the number in the parenthesis. For example: see Eq. (4). Please note that an abbreviation, if it is the first word of the sentence, should be spelled out.
- Material intended for footnotes should be inserted in the text as parenthetical material whenever possible.
- References should be cited in the text by placing Arabic numerals in brackets [4] immediately after the reference, author's name or the relevant statement. All references must be cited; any not cited must be placed in a bibliography which should follow the Reference section. References and Bibliography should appear at the end of the paper. References must be complete and include the author(s)' initials and last name, title of paper or book, name of journal, year of publication, volume and pages on which the article appears, etc. Book references must include year of publication, publisher and city of publication. Anthologies, collections and proceedings must include names of editors and pages on which the reference appears. Books in a series must include series title and number/volume if applicable.
- Submit two (2) copies of your paper. Clearly identify the ORIGINAL and DUPLICATE copies, if both are not originals. Especially when original figures are involved, it is usually more convenient to photocopy the original to provide the second copy. Do not staple either copy.
Your cooperation in following these instructions, as well as in carefully proof-reading the manuscript before submitting it, will be appreciated and will aid significantly in the timely publication of the Proceedings.
Special Notes:
- When you send your manuscript(s), let us know whether you will use overhead transparencies or Power Point for your presentation. Slide projectors will no longer be supplied at the meeting.
- Please send a one-paragraph biographical sketch of the person who will present the paper. This information will be given to the Session Chairman.
